PleaseBeThere is run by Sevenoways Innovations, a company in Ireland. We decide what happens to the information described here, which makes us the data controller for it under the GDPR.
We ask for as little as we can. If you are replying to an invitation, we store your answer and nothing else — no account, no password, no tracking. Everything about a guest is deleted 90 days after the event. There are no cookies on invitation pages and no analytics anywhere on this site.
We store what you type into the form:
We also generate a private link so you can come back and change your reply. That link is the only thing that identifies your reply. We do not ask for your email address or phone number, and there is nothing to sign up for.
Children and allergies. A reply often says how many children are coming and what they cannot eat. Information about someone’s health — including a child’s allergy — is treated more carefully under data protection law, and we treat it that way: it is visible to the host of that event and to nobody else, it is never used for anything but the event, and it is deleted with the rest of the reply.
Who can see your reply. The host of the event you replied to. If the host has signed in, we also email them when you reply or change your reply: your name, your answer and how many are coming — never your dietary notes or your message. Replies are never shown to other guests, never shared with anyone else and never sold. Invitation pages are marked so that search engines do not index them.
We store the event details you give us, and — once sign-in is available — your email address so you can get back to your event. We do not store a password, because there is not one: signing in works by sending a link to your email.
We store your email address, the date, and which page you came from. We will email you once, when PleaseBeThere opens. We will not add you to a newsletter and we will not pass your address to anyone.
It is then deleted automatically, by the same nightly job that clears guest replies: 30 days after we send that email, or after two years if we never sent it. The second rule matters — “we will keep it until we launch” is not a retention period if the launch never comes. You can also ask us to remove it at any point before then.
Invitation and reply pages set no cookies at all. There is no analytics, no advertising, no session tracking and no third-party script anywhere on this site. That is why you have not been shown a cookie banner: there is nothing to consent to.
A host who signs in gets one cookie, which keeps them signed in. It does nothing else.
Everything is stored on a server in Gravelines, France, inside the EU. We use a small number of companies to run the service:
Off-site backup copies, when enabled, are encrypted before they leave our server, so the company storing them cannot read them.
You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. If you replied to an invitation, the fastest route is the private link you were given after replying — it lets you change or clear your own answer immediately.
Otherwise, email [email protected] and we will deal with it within one month. If you are unhappy with how we have handled it, you can complain to the Irish Data Protection Commission at dataprotection.ie.
If we change what we collect or how long we keep it, we will update this page and change the date at the top.
